Org. Setting and Reporting

This position is located in the Mali/MINUSMA Integrated Operational Team (Mali/MINUSMA IOT) within the Western Africa Division (WAD) of the Departments of Political and Peacebuilding Affairs and Peace Operations (DPPA-DPO) in New York. The Team Assistant reports directly to the Deputy Director in charge of the Mali IOT.

The United Nations Multidimensional Integrated Stabilization Mission in Mali (MINUSMA) was established by Security Council resolution 2100 of 25 April 2013 to support political processes in that country and carry out a number of security-related tasks. The Mission was asked to support the Government of Mali in the stabilization of the country and implementation of the 2015 Peace Agreement. By unanimously adopting resolution 2480 of 28 June 2019, the Council further decided that the Mission should focus on duties, such as ensuring security, stabilization and protection of civilians; supporting national political dialogue and reconciliation; and assisting the re-establishment of State authority, the rebuilding of the security sector, and the promotion and protection of human rights in that country. MINUSMA has also begun developing a support plan for the G5 Sahel Joint Force, in line with resolution 2391 (2017).

Responsibilities

Within the delegated authority, the Team Assistant will be responsible for the following duties:

•Maintains the calendar and schedules of the Deputy Director.
•Carries out quality control on outgoing documents, types and processes in requested format working papers, talking points, statements, briefing notes, analytical papers, background notes, profiles and other working documents.
•Drafts routine correspondence in English and French.
•Researches, compiles summarizes background materials upon request from the Deputy Director and officers in the Mali IOT on the basis of the area/subject assigned.
•Maintains electronic files and databases for the Deputy Director and officers in the Mali IOT, as requested.
•Provides assistance in the coordination of system-wide activities (e.g integrated task force meetings and video-conferences).
•Performs a variety of administrative duties, including organizing meetings, ordering office supply and equipment, preparing and/or processing administrative requests/documents (e.g. travel requests, expense claims, visa applications).
•Receives and/or sends outgoing correspondence for the Deputy Director and officers in the Mali IOT. Photocopies, scans and circulates documents, papers and incoming correspondence to the Deputy Director and officers in the Mali IOT. Prepares and processes confidential information.
•Screens visitors and incoming/outgoing telephone calls from/to the Deputy Director from/to Member States, Permanent Missions, UN field missions, international organizations, UN agencies, etc. and directs calls to the relevant officers in the Mali IOT under whose competence a particular call-inquiry falls.
•Performs other related work as required.

Education

High school diploma or equivalent.

Work Experience

Three years of experience in general administrative support functions or related area is required.
Experience using computer software applications (MS Office applications, Internet Explorer) and/or project management tools (e.g. UMOJA, Unite Docs, iNeed) is required.
Experience working in an International Organization is desirable.
Experience providing support to high-level officials is desirable.
Experience providing support to field operations is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Fluency in French is desirable.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

This job opening is only open to the staff members of the United Nations Secretariat who hold a hold a permanent, continuing or fixed-term appointment and serve in the duty station specified in the job opening. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Having passed the Administrative Support Assessment Test in English at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia.

Staff Members are subject to the authority of the Secretary-General and to assignment by him or her. In this context, all staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules.
