Org. Setting and Reporting
This position is in Juba, in the United Nations Mission in South Sudan (UNMISS). The incumbent reports to the UNMISS Senior Women Protection Advisor through the Administrative Assistant.
Under the supervision of the Administrative Assistant, the Team Assistant shall perform the following duties:
•Reviews, records, routes, and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required;
•Prepare monthly request for office supplies, scan and photocopy documents for binding when required;
•Dispatch Cargo Movement Requests (CMR) with suggested material for transportation to the State Field Offices;
•Print, photocopy, arrange training materials for Unit outreach activities;
•Liaise with the other UNMISS Sections (i.e., Supply, Engineering, IT in ensuring that the required needs of the Unit are provided);
•Manage, distribute, and maintain stock of stationery and promotional items of the Unit;
•Submit monthly requests to ensure availability of supplies by taking regular stock of stationery and other promotional materials;
•Assist in logistic arrangements before meetings, conferences, training when required;
•Request accommodation for the staff of the Unit on Official travel to the Field;
•Prepare Movement of Personnel (MOP) and Security Clearance for staff members traveling to the states;
•Monitor attendance of the Staff members;
•Liaise with CITS unit for maintenance of electronic equipment in the office;
•Assist in processing Low-Value Acquisitions (LVAs) and Cash Advance Request (CARs) and all other projects managed through UN agencies like UNDP, UNOPS for the Unit’s programmatic activities;
• Engage with local interlocutors like SSPDF/SSNPS to arrange activities and delivery of materials and correspondence;
• Able to replace the Administrative Assistant during the absence of the incumbent.

High school diploma or equivalent is required. Post-secondary education at college, university or specialized training institution in office management/business administration; technical and
communications skills is an asset.
At least four years experience in administration or office management. Computer literacy and knowledge of Word, Excel, PowerPoint or equivalent software. Experience with other international bodies desirable. A valid driver’s license and proven ability to drive manual gear 4×4 vehicles are preferred.
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required; and knowledge of other languages spoken in South Sudan is an advantage.
Competence Based Interview.
This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment

The term “sexual harassment” means any unwelcome conduct of a sexual nature that might reasonably be expected or be perceived to cause offence or humiliation, when such conduct interferes with work, is made a condition of employment or creates an intimidating, hostile or offensive work environment, and when the gravity of the conduct warrants the termination of the perpetrator’s working relationship. Candidates who have committed crimes other than minor traffic offences may not be considered for employment.

By accepting an offer of appointment, United Nations staff members are subject to the authority of the Secretary-General and assignment by him or her to any activities or offices of the United Nations in accordance with staff regulation 1.2 (c). In this context, all internationally recruited staff members shall be required to move periodically to discharge new functions within or across duty stations under conditions established by the Secretary-General.
