Org. Setting and Reporting
This post is located in the UNECE Sustainable Transport Division. The incumbent reports to the Chief of Vehicle Regulations and Transport Innovation Section and to the Chief of Road Safety Management and Dangerous Goods Section.
A. Under the supervision of the Chief of Vehicle Regulations and Transport Innovation Section (54 percent of time) and the Chief of Road Safety Management and Dangerous Goods Section (17 percent of time), the incumbent will :
Provide secretariat programmatic assistance to the Chief and other staff of the vehicle Regulations Section in servicing meetings of
• World Forum for Harmonization of Vehicle Regulations (WP.29) and to the Administrative and Executive Committees of the 1958, 1998 and 1997 Agreements administered by WP.29: AC.1, AC.3 and AC.4 and to the Adm. Committee for the coordination of work (WP.29/AC.2) (all 3 sessions/ year) (44%),
• Working Party on the Transport of Perishable Foodstuffs (WP.11) (10%),
• Joint Meeting of Experts on the Regulations annexed to the European Agreement concerning the International Carriage of Dangerous Goods by Inland Waterways (ADN) and the Administrative Committee of ADN (4 sessions/year) (17%) by:
•Preparing pre-/in-/post-session document forecasts for Document Management System (DMS).
•Ensuring timely submission/word processing of all official pre-/in-/post-session documents following applicable UN rules.
•Preparing gDoc forms for all official documents.
•Monitoring availability of pre-session documents (all official languages) in ODS and publish them on the website as soon as available.
•Preparing of sets (1 per cabin) of informal documents for interpreters and sets of all documents for all staff servicing the meeting.
•Cooperating with Conference Management Division on meeting organization (nameplates/list of documents, special equipment, meeting room bookings).
•Assisting delegates (visa requests, registration).
•Validating registration requests in the online Contact Data Base.
•Preparing list of registered participants and circulate it to the permanent missions to the UN in Geneva before the session.
•Checking attendance and prepare final list of participants.
B. Under the supervision of the Chief of Vehicle Regulations and Transport Innovation Section (11 percent of time) and the Chief of Road Safety Management and Dangerous Goods Section (10 percent of time), the incumbent will Prepare consolidation of legal instruments by:
•Assisting in support of planning and implementation activities/processes of consolidations of the regulatory framework for vehicle approval;
•Preparing in English and French legal texts to be notified by Contracting Parties to legal instruments, and related consolidated publications, of highly technical nature in the areas of construction of road vehicles and their equipment (11%) and in the field of inland navigation vessels and transport of dangerous goods safety (10%);
•Establishing layout types or inputs data;
•Carefully checking proofs;
•Preparing and collating tables of contents;
•Making final corrections and incorporating any tables, graphs and drawings;
•Submitting documentation and publications to the Conference Management Division for printing;
•Preparing reference material for translations;
•Posting documentation, publications, depositary notifications and other material on the UNECE website;
•Reviewing documents for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature;
•Distributing project documents to relevant parties upon approval.
C. Under the supervision of the Chief of Vehicle Regulations and Transport Innovation Section (4 percent of time) and the Chief of Road Safety Management and Dangerous Goods Section (4 percent of time), the incumbent will :
Serve as focal point for the administrative coordination of programme by:
Involving (i) analysis of the related budget parts and/or monitoring and evaluation of the programme, (ii) collaboration with programme and/or project managers on performance reporting (iii) extensive liaison with diverse organizational units such as Conference Management Division, Treaty Section, Secretariat of cooperating organizations to initiate requests, (iv) obtain necessary clearances, (v) process and follow-up on documentation, publications and legal depositary notifications, administrative actions.
D. Provide general office assistance by:
•Responding to complex information requests and inquiries;
•Reviewing, logging and routing incoming correspondence;
•Setting up and maintaining files/records;
•Handling routine administrative tasks;
•Providing guidance/training to new/junior staff and
•Performing other duties as assigned.

Strong knowledge of applicable UN Rules for Word processing of official documents and document submission. Shows pride in work and in achievements. High school diploma or equivalent is required.
At least seven (7) years of experience in programme management, administration or related areas is required.
Out of these, four (4) years’ experience within the United Nations common system is desirable.
Experience in servicing intergovernmental meetings is required.
Experience in processing official parliamentary documentation in accordance with applicable rules and procedures and in proofreading technical texts in English and French is required.
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in both English and French is required. Knowledge of another official United Nations language is an advantage.
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. Passing the United Nations Administrative Assessment Support Test (ASAT) at Headquarters, ECA, ESCWA, UNOG, UNOV, ICTR, ICTY or the Global General Services Test (GGST) is a prerequisite for recruitment consideration in the General Service category in the United Nations Secretariat.
