Org. Setting and Reporting
The Economic and Social Commission for Western Asia (ESCWA unescwa.org) forms part of the United Nations Secretariat and, like the other regional commissions, operates under the supervision of the United Nations Economic and Social Council. ESCWA comprises 20 Arab countries in Western Asia and North Africa. ESCWA provides a framework for the formulation and harmonization of sectoral policies for member countries, a platform for congress and coordination, a home for expertise and knowledge, and an information observatory. ESCWA activities are coordinated with the divisions and main offices of the Headquarters of the United Nations, specialized agencies, and international and regional organizations, including the League of Arab States and its subsidiary bodies, and the Gulf Cooperation Council.
This position is in the Strategy, Planning, Accountability, Results and Knowledge (SPARK) section of ESCWA. The Section focuses on promoting dynamism and innovation in the ESCWA business model and medium-term strategy. It is the focal point for the Annual Results Framework and related applications. It leverages the evaluation function to serve as a basis for organizational learning processes, focus accountability on the attainment of results, and ensure ESCWA operational excellence through risk reduction and change management processes . The Section oversees the broader knowledge management and dissemination processes of ESCWA, including the Regional Knowledge and Data Hub (MANARA), and forges strategic partnerships to establish ESCWA as a development knowledge source in the region.
The Team Assistant reports to the Coordinator of SPARK Section.
Within limits of delegated authority, the Team Assistant is responsible for the following duties:
1- Maintains accurate programmatic information in the work planning portal and conducts regular updates in coordination with the substantive offices, in accordance with the reporting schedules for the Regular Budget (RB) and the Regular Programme of Technical Cooperation (RPTC).
2- Assists in the preparation and consolidation of the analytical executive insight reports on programme performance for the Regular Budget (RB) and the Regular Programme of Technical Cooperation (RPTC).
3- Assists in the creation of project structures in Umoja to reflect the Annual Results Framework as well as the technical cooperation framework agreements.
4- Performs a wide range of office support and administrative functions and
responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports.
5- Monitors processes and schedules related to the unit’s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements.
6- Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc., and generates a variety of standard statistical and other reports, work orders, etc., using various databases.
7- Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format and screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling.
8- Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc.; Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the site; Assists in the preparation of presentation materials using appropriate technology/software.
9- Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit; Performs data entry and extraction functions.
10- Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions.
11- Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, where possible using electronic formats; handles arrangement for printing and translation as necessary; coordinates shipment arrangements, courier services, etc.
12- Performs general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing
and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.).
13- Maintains files (both paper and electronic) and databases for work unit; Assists in providing software and office equipment support;
Provides guidance to less experienced staff on general office processes and procedures, computer applications, etc.
14- Performs other duties as assigned.

High school diploma or equivalent is required.
A minimum of three years experience in general office support or related area is required.
A minimum of one year work experience with Excel at an advanced level is required.
Experience in using reporting dashboards (i.e. Power BI, Tableau, etc.) is desirable.
Experience in Python is desirable.
English and French are the working languages of the United Nations Secretariat. In addition, Arabic is a working language at ESCWA. For this position, fluency in English and Arabic is required.
Note: “Fluency” equals a rating of ‘fluent’ in all four areas (speak, read, write, and understand) and “Knowledge of” equals a rating of ‘confident’ in two of the four areas.
Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Evaluation of qualified candidates will include assessment(s) and a competency-based interview.
