Org. Setting and Reporting
Meetings, Documents and Publications Unit (MDPU), External Outreach Service (EOS), Office of the High Commissioner for Human Rights.
Responsibilities
Under the direct supervision of the Human Rights Officer (HRO), the incumbent:
Receives pre/in/post-session for the General Assembly, Human Rights Council, Human Rights Council Working Groups, Treaty Bodies, and NONE (type of document) documents from submitting officers, checks their completeness and compliance with the relevant UN document rules and liaises with submitting offices before submitting them via gDOC for processing;
Liaises with both relevant substantive secretariat staff and Document Management Section (DMS) in United Nations Office at Geneva (UNOG) and responds and follows up on queries regarding documents; monitors and acts on incoming electronic mails in the personal and group email boxes on a daily basis; maintains the relevant electronic central file system and updates document submission status tables;
Checks the status of documentation on the ODS (Official Document System) as required and liaises with the relevant secretariat staff concerning the posting of documents on website or extranet; generates a variety of statistical and other reports from various sources and databases and prepares other relevant materials for the Head of Unit and the HRO as required;
Provides backstopping to the documents assistants and programme assistants of the Unit as planned or required; and
Performs other functions as may be required by the Head of Unit and the HRO.

Education
High school diploma or equivalent is required.
Work Experience
At least five years of experience in secretariat or administration is required, of which preferably three years within the United Nations.
Experience in applying UN documentation rules and document formatting is highly desirable. Experience with Excel and electronic systems including UN documentation databases and applications is desirable. Experience with United Nations meeting rules is an advantage.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required and knowledge of French is required.
Assessment
Evaluation of qualified candidates may include an assessment exercise which will be followed by competency-based interview.
Special Notice
This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment.
Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application. Having passed the Administrative Support Assessment Test [in English] at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.
United Nations Considerations
According to article 101, paragraph 3, of the Charter of the United Nations, the paramount consideration in the employment of the staff is the necessity of securing the highest standards of efficiency, competence, and integrity.
